When everyone writes their own prompts, quality varies and good practice spreads slowly. A shared prompt library helps.

What to Include

  • Prompts for common tasks: summarising meetings, drafting customer replies, reviewing code, extracting invoice data.
  • Each prompt's purpose, inputs, example output and known limitations.
  • Guidance on data that may and may not be used with each prompt.

Organise It

Group by task or team, with clear names and search. Keep it where people work — a wiki, a shared folder, or built into internal tools.

Quality Control

  • Test prompts on representative inputs before adding them.
  • Record who owns each prompt and when it was last reviewed.
  • Retire prompts that no longer work well.

Version Prompts

Record changes and the reasons for them, especially for prompts built into applications.

Encourage Contributions

Make it easy to submit improvements, with light review.

Include Safety Guidance

Note which prompts must not be used with confidential or personal data, and which outputs need human review.

Measure Use

Track which prompts are used and whether people find them helpful; improve or remove the rest.
